Presence and safety

Sign-in / sign-out register

Workers text IN to sign on site and OUT to sign off; live "On site" dashboard tab. A QR on the gate is the whole rollout

Visitor sign-in

A guest texts VISITOR: name, who they're seeing, a short safety briefing, and they're on the same register with a visitor tag while their host is told they've arrived. The front desk, replaced by a QR

Haulier vehicle capture

Sign-in also asks for the vehicle reg (NONE if on foot), shown live on the On site tab. Driver registration with zero gate hardware

Evacuation roll-call

One click broadcasts "are you safe?" to everyone on site plus anyone active today; live tally of non-responders. A SAFE reply overrides whatever the worker was doing, so an emergency answer is never lost

Needs-help flag in a roll-call

A HELP or STUCK reply flags the worker red at the top of the list and alerts the site contact instantly

Lone-worker welfare check-ins

Timed "all OK?" pings; no response escalates to the site contact. Non-response is the alarm, so no tracking needed

Worker-initiated event log

ARRIVED, MUSTER CLEAR, INSPECTED: a keyword plus an optional note or photo becomes a timestamped record

Hazard reporting

Text HAZARD with a note or photo: flagged red in the log, site contact pinged, H&S team emailed. Reporting that takes 20 seconds gets used

Site broadcast

One message from the dashboard reaches everyone on site now. "Crane lift on quay 3 at 14:00, keep clear"

Documents and compliance

Document capture in chat

"Send a photo of your CSCS card" after the trail; lands in the customer's own private store; reviewed in the dashboard

Expiry tracking

Capture also asks the expiry date; a Compliance dashboard tab flags every document valid, expiring or expired, worst first

Renewal reminders

The daily report email flags documents expiring within 30 days to the safety team, even on a quiet day. And an expired card stops unlocking the gate, with the worker told exactly why

Re-induction cycles

Per-site validity period; opted-in workers get an email nudge when it elapses, and a lapsed induction stops unlocking the gate code. Enterprise tier

Compliance-gated access codes

Induction passed and documents valid: the bot releases the site gate or door code. Card expires, induction lapses, or the worker is banned: the code stops coming, with the reason spelled out. Re-checked on every request

Rotating gate codes

Change the code from the dashboard and compliant workers get the new one immediately. Rotate weekly without reprinting a single sign

PASS identity codes

Worker texts PASS at the gate; the bot issues a 6-digit code valid two minutes. The gatekeeper enters it on a verify screen showing the worker's name and enrolled selfie. The phone is the authenticator

Site ban list

Ban a worker from any dashboard row; they are refused induction, gate codes and passes until the ban is lifted

What we deliberately don't do

No app to install

The install base is the phone already in their pocket. Works on 2G where apps die.

No surveillance

No live GPS, no movement tracking, no random location demands. Location is something a worker chooses to attach to a sign-in, never something the system takes.

No biometrics

No facial recognition databases. The pass carries a photo and a human compares it with their eyes, the way gatehouses always have.

No hardware

No kiosks, no badge printers, no NFC cards, no turnstile contracts. Everything rides what the site and the worker already own.

No contractor portals

We do the worker-facing induction layer brilliantly instead of being the fourteenth mediocre RAMS and permit-to-work suite.
